Alberta Bid Help ("we", "us") is a small company in Edmonton, Alberta. We help small contractors find work and prepare bids. To do that, we handle some of your information. This page says what we collect, why, who sees it, and what you can ask us to do. We follow Alberta's Personal Information Protection Act (PIPA), Canada's federal privacy law (PIPEDA) and Canada's anti-spam law (CASL).
1. What we collect
- Contact details: your name, company name, phone number, email address and, if you give it, your mailing address.
- About your business: your trade, your equipment and crew, where you work, your prices, and your licences, insurance or safety papers when a bid needs them.
- Documents you send us: tender packages, forms, quotes and anything else you ask us to read or fill in.
- Notes from our calls and messages: what we talked about and what we agreed to do.
- Public information: when we look for work or buyers, we use public sources such as Alberta Purchasing Connection, business directories, company websites and public business registries.
2. What we never ask for
We never ask for your passwords. You log in to every bidding portal yourself, and we walk you through it by phone if you want. We do not ask for your banking details. You pay us by e-transfer to the email on our agreement.
3. Why we use your information
- To do the work you hired us for: find jobs, read packages, fill in forms, write bids and get your name on vendor lists.
- To contact you about jobs, deadlines and the status of your work.
- To introduce your company to a buyer, and only after you have said yes to that introduction.
- To send you a short update on what we are doing for you.
- To keep a record of what we agreed and what we did, in case either of us needs it later.
4. How we contact businesses
Part of our work is calling and emailing businesses that might buy from our clients, and contractors who might want our help. When we do:
- We say who we are and who we work for.
- We give a phone number and an email address you can reach us at.
- Every email and text has a simple way to say stop. Reply "STOP" or "unsubscribe", or call us. We stop within 10 business days, usually the same day.
- We use business contact details from public listings and from people who gave them to us. We do not buy email lists.
5. Who sees your information
We do not sell or rent your information. We share it only like this:
- Buyers and general contractors: we give them your company name, your contact details and your price letter or quote, and only when you have asked us to introduce you or send it.
- Our tools: we use well-known services to run the business: Google (email, documents and shared sheets), Close (our customer records and call notes), and Cloudflare (this website). These companies store data on their own servers, some of which are in the United States, so your information may be stored outside Canada and could be reached under that country's laws.
- If the law requires it: for example a court order.
6. This website
This website does not use tracking cookies, advertising trackers or analytics scripts. Our host, Cloudflare, keeps standard server logs (such as IP address and the time of a visit) for security, as all web hosts do. If you click a phone or email link, your own phone or email program opens; we do not record that.
7. How long we keep it
We keep your information while we work together and for up to two years after, so we can answer questions about past bids and agreements. We delete tender documents and draft bids sooner if you ask. We keep signed agreements and payment records as long as the law requires.
8. How we protect it
Your information is kept in password-protected accounts with two-step sign-in, on our own devices and in the tools named above. Only the people who work on your file can see it. No system is perfect, so if we ever learn that your information was lost or taken, we will tell you quickly and say what we are doing about it.
9. Your choices and rights
- Ask us what information we have about you. We will show you.
- Ask us to fix anything that is wrong.
- Ask us to delete your information, unless we must keep it by law or to finish work you asked for.
- Tell us to stop contacting you at any time.
- Take back your permission for an introduction before we make it.
If you are not happy with how we handled your information, you can also contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
10. Changes to this page
If we change how we handle your information, we will update this page and change the date at the top. Big changes we will also tell our current clients by email.
